Privacy policy
Last updated: 22 October 2026
This policy explains how JobSphere ("we", "us") collects, uses, discloses and protects personal data when you use JobSphere, in line with Singapore's Personal Data Protection Act 2012 (PDPA).
1. Personal data we collect
- Employers: company name, UEN, contact person, mobile number, email address, password (stored only as a one-way hash), job postings and credit purchase history.
- Job applicants: name, email address, phone number and any message you include with an application. If you choose to save your details, we also store a hashed password.
- Payments: credit purchases are processed by HitPay. We receive a payment reference and status; we never see or store your card or bank details.
- Usage data: if you accept analytics cookies, pages visited, device and browser type, and approximate location (see Cookies).
2. How we use it
- To create and manage your account and log you in.
- To review, publish and share job postings, including in our WhatsApp job group.
- To send your application to the employer who posted the job.
- To process credit purchases and keep transaction records.
- To send service emails, such as new-applicant notifications.
- To improve the site, prevent abuse and meet our legal obligations.
3. Who we share it with
When you apply for a job, your application details are shared with the employer who posted it. We also use trusted service providers who process data on our behalf: Vercel (hosting), Neon (database), Mailgun (email delivery), HitPay (payments) and, if you consent, Google Analytics. Some of these providers may store data outside Singapore; where they do, we require protection comparable to the PDPA. We do not sell your personal data.
4. Cookies
- Essential: a session cookie that keeps you logged in, and a record of your cookie choice. These are needed for the site to work and can't be switched off.
- Analytics (optional): Google Analytics cookies that help us understand how the site is used. These are only set if you click "Accept" on the cookie banner. You can change your choice at any time using "Cookie settings" in the footer.
5. How long we keep it
We keep personal data only as long as needed for the purposes above or as required by law — for example, transaction records are kept for accounting purposes. When you close your account, we delete or anonymise your data unless we must keep it.
6. Your choices and rights
You may ask to access or correct your personal data, or withdraw your consent to its use, by contacting us below. Withdrawing consent may mean we can no longer provide some services, such as processing your applications. We will respond within 30 days.
7. Security
We protect your data with encrypted connections (HTTPS), hashed passwords and access controls. No method of transmission over the internet is completely secure, but we take reasonable steps to prevent unauthorised access.
8. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date at the top. See also our terms & conditions.
